Data Retention Notice
Retention depends on the record, the reason it was collected and any employment, payroll, tax, safety, security or dispute requirements.

Current retention behaviour
- Employee records are normally archived when employment ends; archive disables or limits access but is not deletion.
- Employment, payroll, leave, attendance, safety, licence, document and audit history may remain linked to an archived employee.
- FORZA AI redacted conversation content has a default 90-day retention period; usage, cost and security analytics default to 365 days. Authorised administrators may configure these periods.
- Temporary SafetyCulture import previews are cleaned after 24 hours, with source/error details redacted after 30 days.
- Some file records are permanently removed only when an authorised permanent-delete workflow succeeds.
Deletion and provider copies
Deletion may be delayed or restricted by related financial, employment, safety, audit or legal records. Service providers may also retain encrypted backups or operational logs for their own limited recovery and security periods. A user-facing deletion does not necessarily remove those protected backup copies immediately.
Retention review
Forza administrators are responsible for applying approved retention schedules and reviewing records that no longer need to be held. This notice describes current system behaviour; it does not promise deletion on a date where no automated schedule has been configured for that record type.
