AI Use Notice and Disclaimer
AI helps with search, summaries, drafting and document reading. It supports people; it does not replace authorised review or professional judgement.

AI can be wrong
AI output may be inaccurate, incomplete, misleading or out of date, even when it sounds confident. Always compare important information with the original myFORZA record, source document or an authorised person.
Do not rely on AI alone for employment, payroll, legal, safety, medical, disciplinary, compliance or other decisions that could affect a person.
Information that may be processed
Depending on the feature you choose, AI processing may include:
- Your prompt and selected information you are already permitted to access in myFORZA.
- Licence or identity-document images and extracted fields.
- Receipts and expense information.
- Helpdesk tickets, recent conversation content and operational history.
- Safety, learning, quality, freight or controlled-document content supplied for a draft or summary.
Do not enter passwords, recovery codes, unnecessary medical information or other secrets into an AI field.
External AI providers
myFORZA primarily uses Google Gemini for AI processing. Some features may use Anthropic as a fallback. Relevant prompts, files and context are sent to the provider needed to perform the selected task. Provider handling and retention are governed by Forza’s service configuration and contractual arrangements as well as the provider’s applicable terms.
Storage and human review
FORZA AI stores essential security and usage metadata. When redacted conversation logging is enabled, it also retains redacted questions and responses for review by authorised administrators for security, compliance, quality assurance, troubleshooting, cost monitoring and system improvement. Passwords, authentication tokens, API keys and similar credentials are redacted before retained content is written. Other features may save generated summaries, extracted fields, drafts or model details with the related business record.
AI usage monitoring is not an automatic employee-performance score. Licence, onboarding, safety, payroll, employment, disciplinary and compliance outcomes remain subject to authorised human review.
Choice and questions
Where an AI feature is optional, you can enter or review the information manually. If AI processing is part of an online onboarding or verification flow and you do not want to use it, contact HR for an available manual pathway before uploading. Report questionable output through the relevant team or the Contact page.
